The paper trail behind production
Every production run generates documents. A supplier's certificate of analysis arrives with the raw material. An inspection report closes out a quality check. A revised work instruction supersedes the one taped to the machine. A packing list travels with the shipment, and an invoice lands a few days later.
In most operations those documents scatter — into email threads, shared drives, and filing cabinets. When a customer asks for evidence, or an auditor asks for a record, someone goes digging. When a work instruction is revised, an old revision keeps circulating. The production was fine; the proof is the problem.
What intelligent manufacturing automation actually is
It is document processing pointed at the factory's paperwork. Software classifies each incoming document — certificate, report, instruction, invoice — extracts its data, and validates it against your records: the purchase order, the goods receipt, the current revision. Validated documents move through the reviews and approvals your process requires, and the finished record is filed where it can be found in seconds.
The result is a paper trail that maintains itself. Certificates are matched to the materials they certify. Quality records sit with the lots they describe. And the current work instruction is the only work instruction anyone can pull up — superseded revisions are archived, not circulated.
The loop, end to end
Intake
Documents arrive by email, upload, scan, or supplier portal and enter one queue — certificates with the shipment paperwork, reports from the floor — with nothing sorted by hand.
Classification & Extraction
MaxxOwl™ SI identifies each document and lifts out what matters — supplier, material, lot numbers, test values, expiration dates — as structured data, not text in a PDF.
Matching & Validation
N-Way Match™ checks documents against the purchase order and the goods receipt, so a wrong-lot certificate — or an invoice priced off the order — is caught on arrival, not at audit time.
Exceptions & Review
Anything that fails a check goes to a person in Outcome Workspace™, with the document, its extracted data, and the reason it was flagged side by side. Clean documents file straight through.
Evidence Recorded
The finished record lives in the Outcome Repository™, retrievable by supplier, material, or lot. The outcome — what got done with it — is on the record.
What changes on the floor and in the office
Quality stops being the department that hunts for paper. When a customer questions a shipment, the certificate, inspection report, and lot record are already together — the answer takes a search, not a week. When a certificate approaches its expiration date, its date was extracted on arrival, so it surfaces before it lapses instead of during an audit.
Revision control stops depending on discipline alone. A work instruction is a controlled document: the current revision is the one served, and superseded revisions are retained as history — visible to an auditor, unavailable to the floor. And AP stops paying from paper: invoices matched against orders and receipts arrive ready for a decision.
The platform behind the loop
This site is a MaxxLogix LLC resource on Outcome Cloud™. The loop above runs on MaxxLogix — a platform built for documents and data, and for the outcomes they produce.
Manufacturing at MaxxLogix
How MaxxLogix approaches manufacturing across its common document areas — quality, suppliers, production, and shipping.
MaxxOwl™ SI
The reading engine: classification and extraction that turn certificates, reports, and invoices into trusted, structured data.
N-Way Match™
Multi-way matching across purchase orders, receipts, certificates, and invoices, so disagreements surface before they are paid or filed.
Outcome Repository™
Where the evidence lives: every processed document and its outcome, retained and retrievable by the keys your team searches — supplier, material, lot.
Outcome Workspace™
Where people resolve the exceptions: a mismatched lot, a missing certificate, an invoice that disagrees with its order — decided with full context.
IDP Outcomes™
Document processing delivered as finished, measurable results — the outcome, not just the extraction.
MaxxLaunch™
Forms and portals for structured intake — a supplier submitting a certificate sends it in as clean data from the first click.
SI Capacity
Capacity is published in SI Units, so what your plan includes is never a mystery. As your volume grows, adding capacity is always your choice — there are no surprise overage bills.
Frequently asked questions
Which manufacturing documents can it handle?
The documents production runs on: supplier certificates and certificates of analysis, quality and inspection records, work instructions, shipping documents, and AP invoices. If a person can read it and say what it is and what matters in it, the processing can be configured to do the same — and to flag uncertain ones for human review.
How do we know the current work instruction is the one being used?
Because there is only one to find. Work instructions are controlled documents in the repository: the current revision is what search returns, and superseded revisions are kept as archived history. The floor pulls from the same place every time, so only an old printout can circulate an old revision.
What happens when a certificate is about to expire?
Its expiration date is extracted when the certificate is processed, so the date is tracked like any other field. Certificates approaching expiration surface for review before they lapse, while there is still time to request a current one.
Can we produce evidence for a customer or an auditor?
That is what the repository is for. Every processed document keeps its record — what it was matched against, who reviewed it, and when — and is retrievable by supplier, material, or lot. An evidence request becomes a search through records filed as the work happened, not a reconstruction after the fact.
Do people disappear from the process?
No. Automation handles the reading, matching, and filing; people handle judgement. A certificate that does not match its shipment, or an uncertain read, goes to a reviewer with document and data side by side — the decision stays human, the digging does not.
